Response 1.1:  What is CITRIX?  CITRIX is a program that you install on your computer that allows your computer to act a “client” to the AUXDATA server.  Using CITRIX provides for much faster access to AUXDATA and allows for enhanced reports viewing and printing functions.  Installation of CITRIX is necessary to access AUXDATA.  Once installed,  you do not need to “start” CITRIX by clicking on an icon.  It will start automatically once you attempt to access AUXDATA through your browser.  (See Response 1.4 – How do I know if I’ve installed CITRIX properly?)

Response 1.2:  How do I download CITRIX?   If you are using Win95, 98, ME, NT, 2000, or Windows XP, The version of Citrix to download is as follows:

Left click with your mouse on the above link,  select  “Save as…” and save the ica32t.exe to a folder on your hard drive.   (If you have AOL please see Response 1.21 before going any further.)    Now you are ready to actually install CITRIX.  (See Response 1.3)

Response 1.21:  I have AOL.  Is there anything special that I need to know?  Yes!  Some members with AOL accounts have reported difficulties downloading the CITRIX program file. It will download to your computer, but may not install properly. If you have AOL and cannot download or install this file, have another member (without AOL) download the file (see response 1.2) on to their computer and then send it to you as an attachment to e-mail.  If you cannot get a member in your local area to do this for you, please contact your SO-IS for assistance.  You should then be able to install the program without corruption errors.  If the file does not install, make sure that you are using Windows 95 or above.

Response 1.3:  How do I install CITRIX?  Once you download it, go ahead and double left click on it with your mouse.  It will install itself.  It will then function as a plug-in for your browser.  You do not need to “start” it like a regular program.  Do not download or install JINITIATOR.  Despite earlier instructions to the contrary, it is now obsolete and has been replaced by CITRIX.  CAUTION:  Downloading the CITRIX file to your computer is not the same as INSTALLING the CITRIX program on your computer.  Once you have downloaded the CITRIX file (ica32t.exe), you must “install” the program by either double-clicking the file with your mouse’s left key,  or by right-clicking  the file with your mouse and selecting the “open” option.  CITRIX should then be properly installed.

Response 1.4:  How do I know if I’ve installed CITRIX properly?   Start up your browser, and then point it to the AUXDATA URL. (see Response 2.1 below for precise address)  Click on the “Internet Users: Production Database” on the AUXDATA URL.  If CITRIX has been installed properly, you will see two small “pop-up” windows in succession.   The first window will say  “Please wait…  ica connecting to Auxdata prod.”   The second, larger window will say “Please wait… Windows 2000 Server -- applying your personal settings”    You should also notice an icon on your toolbar that says “ica”   The “dot” on the “i” of  “ica” should appear as a small red bouncing ball.    If you do not notice these items, please review the instructions regarding the installation of  CITRIX (see Response 1.1 and Response 1.2) and try again.

Response 2.2:  What do I do if I can’t log on to AUXDATA?  Verify that you have installed CITRIX properly (Response 1.4). Once you have verified the proper installation and function of CITRIX and you are still having problems, make sure that you have entered AUXDATA via the proper URL for your operating system and have used the correct link on the first AUXDATA page. (See Response 2.1)

Response 3.1:  What do I do if AUXDATA rejects my password?  Be very sure that you have entered your username and password correctly.  If your password is still rejected, try entering it in lower case.   Should you continue to have problems,  contact your SO-IS. He/she can “test” your password to see if it is valid.  If they determine that the password is no longer functioning, they will refer you to the DSO-IS to have your password “re-set” by National.

Response 3.2:  How do I change my password?  You can change your password by “checking off” the “change password” box on AUXDATA log-on page.  Be sure to write down your new password and keep it in a safe place.  If you lose your password, it will have to be “re-set” by National.  Considering the current “rush” to obtain passwords, it may take days or weeks to have your password re-set.   Step-by-step instructions can be found below.  ( The instructions do not mention this but, the system does not seem to like special characters like any of the following: " /?!@#$%^&*( ) ><"  Just try to keep your password limited to standard letters and numbers and you should  be just fine.

    1. Changing Your Password

Step 1: Log on to a PC 

Step 2: Open the Microsoft Internet Explorer (or other browser) browser by double clicking the icon on your desktop.

The Microsoft Internet Explorer browser (or other browser) opens.

Step 3: In the Address text box of the browser, enter: http://auxdata.uscg.gov/ (or http://auxdataweb2.uscg.gov/ if you are using Window 2000,ME or XP) and press ENTER.

The AUXDATA Logon Screen appears.

Step 4: Enter your username and password, click the Change Password checkbox, and then click Logon.

NOTE: It is highly recommended for security purposes that you adhere to the Recommended Password Criteria listed on the Password Change screen.

Step 5: Enter a new password in the New Password field, then re-enter the new password in the Confirm Password field. Click Change.

A window appears similar to the following:

Step 6: Click OK.

Your password is changed. The user is logged on and the AUXDATA Main Menu appears.

Response 3.3:  Why should I change my password?  The password that you have been issued is very “generic” and can be easily guessed by another user.  Should that happen, that other user may accidentally or intentionally change the password.  You would then be “locked out” of AUXDATA.  In addition,  unauthorized persons could  gain access to your unit's protected Privacy Act type information.

The PDF file looks like it will be the best for printing, however, the HTML document has clickable links which makes navigation around the document easier.

I recommend that you save them to your hard drive for ready reference.

Response 6.01  --  I can find all of the units, but I can't find any members other than myself.   Unless you have "input" level authorization, you will only be able to see you own personal information when you enter the "Member Status" area.   You will find member demographics in the "Reports" area.

Response 6.02  --  I can't get Adobe Acrobat to work correctly.   Make sure that you are using Adobe Acrobat Reader 5.0 or higher.  You can obtain a free download of the newest version at :

Be sure to select the proper version for your current version of Windows before you download the Adobe Acrobat Reader software

If you are sure that you are using the correct version of Acrobat Reader, and you are still having problems, see the following:  

Adobe Acrobat Reader must be configured properly to view reports. To configure Adobe Acrobat Reader, perform the steps below:

Step 1: Open Adobe Acrobat Reader.

Step 2: Click File.

Step 3: Point to Preferences, and click General.

Step 4: Ensure that Web Browser Integration is not selected (see below).

Response 6.05  -- I'm not using Windows 95, 98, ME, 2000 or XP.  Is that a problem?   Answer:  Perhaps!  If you are using a version of Windows older than Windows 95,  you should upgrade.  If you are using Mac or Linux/Unix operating systems, be sure that you have downloaded the Mac or Linux/Unix version of CITRIX before proceeding.    If you are using Linux /Unix or a Mac and are experiencing difficulties, technical support is not currently available on this Quick Start Guide.

Response 6.08:   --  What kind of reports can I obtain through AUXDATA at this time?   AUXDATA has very limited reporting functions at this time.   OSC  is working on developing reports that are similar to those that we had in AUXMIS II.  We do not have an availability date for access to those reports.  

The Unit Summary Data Report is available in the AUXDATA Reports section.

Member Qualifications Reports are accurate and can be accessed. See response 6.13  for instructions on running Member Qualifications Reports.

Member Rosters can be found in the "Reports" section of AUXDATA.

AUXINFO (located at http://www.auxinfo.uscg.gov/  ),  one of the major reporting functions of AUXDATA, is currently up and running.  If you log onto AUXINFO and go to “New CG Info--Auxiliary Users” and then to “PowerPlay Quick Tour” you learn interactively how AUXINFO works. It is really easy to use after taking this tutorial. The most important item is to learn is how to generate bookmarks.  Selected Preformatted AUXINFO reports can be found at:  http://www.d8cr.org/auxinfo_preformatted_reports.htm

Response 6.09: --   I've created a report file and saved it to my "local" disk.  Now I can't find it.  You have probably saved it to the wrong location. Make sure that you save the file to one of the "client" folders.  "Local" folders actually refer to the server's local folders.  Thus, saving the file to "Local" actually saves the file to a drive on a computer located in West Virginia.  See more information below.  

Even though the following example demonstrates the saving of a E-Mail Directory report,  you can use the same technique to save any type of report. 

1. Select the reports button…

Response 6.12 -- I'm an FSO-IS.  How do I input information for my flotilla?  FSO-IS officers do not have data input access at this time.  It appears that currently only the SO-IS has the ability to change any member demographics or enter mission activity.

Response 6.13  How can I check the Qualifications for members in my unit?  

The Certifications button allows you to run a report on the unit certifications and return to the Report Menu.  Perform the following steps to run a Unit Certifications report:

1.   Click the  button from the AUXDATA Main Menu.

2.  From the TMT Main Menu, click the button.

4.  Select  the desired Unit. Click Submit.

Response 6.131 --   A member with no qualifications will not show up on the Unit Qualifications Report.  To verify that a member is listed within the AUXDATA system, run a member roster report.  You can access the Member Roster report in the "Reports" section of AUXDATA.

Response 6.132 -- How can I check the Vessel, Radio and Aircraft facilities assigned to my flotilla?  

1.  From the AUXDATA main menu, click on the "Resource Status" button.  Your flotilla should already be highlighted in blue.  

2.  Select the "Facilities" tab at the top of the window.   You should now see a screen with three radio buttons at the top labeled "Aircraft",  "Boat", "Radio".    Clicking on any radio button will display a list of the facilities assigned to your unit.  For example, if you wish to view a list of boats assigned to your flotilla,  click on the radio button labeled "Boat".   

3.  Use your mouse to click on and highlight the facility you wish to view.  Then click on the "View" button.  Do not be misled by the name of the member listed on the first screen that you see.  If you look closely, that name is of the member who inspected the facility.  If you wish to verify the ownership of the facility, click on the button labeled "Ownership".  

4. Additional information regarding this facility can be found by clicking on the button labeled "Boat Information" (or Radio Information or Aircraft Information as the case may be)

Response 6.133 -- How do I check member training including Required Tasks, Workshops, QE and NAVRULEs dates?

The Training Record button allows you to run a report on the unit training records from the Begin Date to the End Date and return to the Report Menu. Perform the following steps to run a Unit Training Record report:

1.   Click the  button from the AUXDATA Main Menu.

2.  From the TMT Main Menu, click the button.

4.   Enter the desired Start Date and End Date. (**NOTE**:  Be sure to pick a very early "Begin Date:" if you wish to check Required Tasks. If you pick a date that is too current,  the report will not show  any training completed before that date.  For example,  if a member completed a specialty course in 1970, and your "Begin Date"  is 01-JAN 1990,  that specialty course will not show on the report.  To generate a comprehensive list  use a "Begin Date" that predates the earliest date of enrollment for all of your members.) 

5.  Click Submit.
